Social Administration

The Social Administration is responsible for interventions, support, and services to individuals and families in the municipality. Our activities are primarily governed by the Social Services Act, the LSS Act, and the Health and Medical Services Act, and must implement interventions regulated by these laws. All activities are characterized by the individual at the center to meet individual needs. The mission involves a strong customer focus and service spirit.

Joint Personnel and Schedule Supply

The area of Joint Personnel and Schedule Supply was established in September 2025 and consists of three units: Schedule and Planning, Substitute and Recruitment, and Resources and Administration, which are responsible for providing support in the above areas to a large part of the Social Administration.

The Schedule and Planning unit is responsible for strategic and operational schedule planning, follow-up of strategic schedule planning, as well as outcomes and analysis together with other units and responsible unit managers within the Social Administration. Efficient resource utilization and staffing optimization are in focus through, among other things, the use and analysis of resource time, co-planning between units, and evaluation of staffing requirements.

JOB DESCRIPTION

As a coordinator for schedule planning within the new area of Joint Personnel and Schedule Supply (GPS), you will hold a crucial role.

You will act as an expert in schedule planning, where you proactively and advisory support the organization in creating effective and well-functioning schedules. The needs of the organization, budget, and work environment are in focus. We work according to applicable working time regulations and with consideration for the needs of the units and care load. You perform control of time regulations related to daily and weekly rest according to the Working Time Act and have ongoing dialogue with various roles from different activities.

As a coordinator, you are expected to support the various units of the organization. You will primarily work in the schedule planning system Time Care Planning Multi Access, where close collaboration with units and managers is an important part of the work. Other systems you will work in include Time Care Pool and VIVA, but also, if necessary, Personec and others. Examples of other tasks included in the role are co-planning, vacation planning, and handling sick and healthy notifications. If necessary, you may need to work with other tasks within the area of operations.

You will work in a team with other coordinators in schedule planning and detailed planning, where you together are responsible for a number of units. The role includes working strategically. You will also work with operational planning in Time Care Planning Multi Access based on sick and healthy routines. Weekend work is included in the position.

Your close collaboration with managers and employees is central to ensuring that the schedule meets the requirements of the organization. Therefore, it is important to have a natural ability to communicate and inform about schedule planning in a clear and pedagogical manner. To succeed in the position, engagement in the professional role and proactive work with planning is required. It is essential to understand the entire process from planning to finished schedule as well as handling statistics and follow-up. Having the right person with the right competence in place at the right time is crucial for the organization to function. It is important to safeguard cooperation with our activities. You perform the work with a professional demeanor and a high level of service in all situations, where a solution-focused approach is fundamental. Overall, you are a good ambassador and contribute to creating pride for Motala municipality.

QUALIFICATIONS

We are looking for someone who has:

  • A complete upper secondary education or other education that the employer assesses as equivalent.
  • Experience in schedule planning and staffing optimization, preferably from a larger organization.
  • Good digital competence.
  • Good Swedish in speech and writing.

It is meritorious if you have:

  • Post-secondary education in, for example, staffing planning, working time legislation, personnel economics, or other education that the employer assesses as equivalent.
  • Experience of working in operations with round-the-clock service.
  • Experience of working in schedule planning systems.
  • Driving license B.
